Position Summary:

Provide the Regulatory Law team with administrative support as well as the execution of assignments, tasks, and projects.    

Responsibilities:

  • Organize administrative activities such as calendars, meetings, travel, conferences, expenses and related activities for assigned stakeholders

  • Perform a variety of administrative responsibilities to support the practice area

  • Work closely with management and team members to establish task needs, deadlines, and budgets

  • Assist with onboarding of new team members

  • Support opportunities for efficiency across department

  • Identify opportunities for process improvement within practice area

  • Work in matter management and e-billing software, as needed 

  • Support creation and maintenance of SharePoint sites and knowledge management activities

  • Access and manage the Escalation SharePoint and calendar, including creating and modifying Escalation meetings and Pre-Escalation meetings. 

  • Make effective decisions when presented with multiple options on assigned tasks

  • Coordinate and answer correspondence

  • Work independently and serve as a key team contributor for special nonrecurring and ongoing tasks, assignments and projects

Required Qualification(s) and Desired Experience:

  • A completed Bachelor's Degree from an accredited university

  • 3+ years experience in administration at a law firm, large corporation, or similar professional environment

  • An equivalent combination of education and/or experience may be considered in lieu of the degree when the experience has been directly related to the functions of the job, preferably in a law firm, corporate legal / compliance department, or other legal services provider environment

  • Some project management experience helpful

  • Experience with pharmaceutical industry helpful

  • Strong communication skills – written and verbal

  • Strong interpersonal skills and ability to work on teams cross-functionally

  • Strong problem solving, analytical, and organizational skills

  • Capacity and willingness to develop new skills and learn new software applications. 

  • Advanced knowledge in Microsoft Office, Outlook, Concur, Purchasing systems and SharePoint preferred
